The Challenge:

Auckland-based bathroom product supplier, Elite Bathroomware (Elite), experienced a significant surge in growth over a five year period. With a workforce of 30 and an expanding trade department, the company found its manual order management and stock control processes hindering its efficiency. What once worked for a small team was now holding back their progress.

Manual processes introduced room for errors. Sales staff, responsible for taking orders, picking products, and creating invoices, faced challenges such as picking the wrong stock and delayed invoicing. The lack of visibility into available stock led to complications where products allocated for one job were inadvertently sold to another, causing delays in dispatch.

The Solution:

To address these challenges, Elite partnered with Top Flight to leverage the power of their Accredo accounting system and automate their sales order processing. Elite recognized that off-the-shelf solutions wouldn't cater to their unique business needs, and Accredo's customizable nature proved to be the ideal fit.

Working closely with David, Elite sought to tighten their sales order processes, streamline inventory management, and enable timely invoicing. Accredo's Purchase Ordering module played a crucial role in automating stock allocation and purchase order creation. When assembling a sales order, the system automatically checked stock availability. If stock was unavailable, a purchase order was created and assigned to the specific job, ensuring that once the stock arrived, it was automatically allocated to the order.

Triggers and alerts were implemented to keep staff informed and maintain business efficiency. Salespeople received daily email summaries of incoming stock, while warehouse staff received end-of-day summaries of dispatches. Additionally, Elite benefited from customized dashboards that provided real-time information on inventory and dispatch processes, aiding in prioritization and decision-making.


The Outcome:

The implementation of automated order management brought about transformative outcomes for Elite Bathroomware. With streamlined processes and improved visibility, the company achieved enhanced business control and efficiency.

The automation of sales order processing and invoicing significantly reduced errors and delays. Sales staff were relieved of manual tasks, allowing them to focus on creating quotes and providing better customer service. The automated stock allocation system ensured that the right products were dispatched promptly, enhancing customer satisfaction.

Real-time information provided by Accredo's dashboards enabled Elite to make data-driven decisions. The increased visibility into inventory and warehouse activity facilitated accurate planning and resource allocation. By comparing order volumes against sales orders and analyzing data, Elite could determine when additional staff were required to meet demand.

The implementation of automated packing slip scanning further saved administrative time, with the process seamlessly integrated into Accredo. The availability of accurate and trustworthy data improved overall business operations and instilled confidence in decision-making.
